Information Management - Information Matters

Inputs to Stage 6: Disposition

To encourage continuous improvement, there are six key inputs that IM practitioners should consider when preparing to dispose of records:

Your Departmental IM Plan
Your department's annual planning initiatives should include an overall Information Management plan, with supporting policies and procedures, that have been designed to support the organization's unique business activities and mandates. If one has not been created, refer to Stage 1: IM Planning for some helpful information on aspects to consider when developing frameworks for records and information management.

Your Departmental Records Retention Plan
Your department's annual planning initiatives should include a Records Retention Plan, with supporting policies and procedures, that has been designed to prescribe the length of time that records and information must be kept before they can be disposed of. If a Records Retention Plan has not yet been created, contact us for some helpful guidance on records retention periods.

Your Departmental Records Disposition Submission
Every department has created a Records Disposition Submission, which is used as the basis for the generation of a Records Disposition Authority by Library and Archives Canada. If you cannot locate your department's Records Disposition Submission or Authority, contact us for information.

Security of Information Policies
All Government of Canada departments and organizations are subject to strict legislation, policies and procedures for the security of information. Your department's unique security measures will be reflected in your department's IM plan. The Department of Justice's web page provides information on the Security of Information Act.

Your Departmental Records Disposal Plan
Your department's annual planning initiatives should include a Records Disposal Plan, with supporting policies and procedures, that prescribes the disposal methodology for your records and information. If a Records Disposal Plan has not yet been created, contact us for some helpful guidance on records disposal.

Your Departmental Records Accommodation Plan
Your department's annual planning initiatives should include a Records Accommodation Plan, with supporting policies and procedures, that prescribes how your records and information storage will be accommodated, including budgets, locations, and supporting infrastructure. If a Records Accommodation Plan has not yet been created, contact us for some helpful guidance.
