Scope and content

Series consists of the records of the main departmental registry system, commonly referred to as the "1939 Series". The file numbers are arranged consecutively within each year, but not according to subject matter. Under this system a subject may have a different file number from year to year. Although the Department of External Affairs screened and destroyed numerous files which were no longer of operational value to the Department prior to their transfer to the National Archives, these records still reflect most aspects of the Department's operations from its beginnings until after the Second World War. The registers and indexes were used by the registry office for maintaining the "1939 Series" records within the Department. An alphabetical index and a list of indices is available.

Finding aid

The finding aid to this series is divided into three parts. The first is a typed list created by the Department of External Affairs and lists each of the files created for every year between the years 1909 and 1939. This finding aid lists all of the files created by the department in this series. Not all were transferred to the National Archives as some were destroyed before their transfer. The researcher will note that those files not transferred are crossed out on the finding aid. 25-4 (Paper)

A microfiche copy of the files transferred to the National Archives is organized by subject. If a researcher wishes files on the League of Nations, one would look up that subject and receive a list of those files. Contact the archivist at the desk for the location of the fiche finding aid. 25-4 (Microform)

The finding aid is available as a computer printout of the files organized by volume number and by year. 25-4 (Electronic)
