Scope and content

Series consists primary of establishment books in which appointments and service of personnel at Headquarters and in the Filed are recorded. Designed primarily to document public service careers for the purposes of superannuation, these records provide basic tombstone information about employees and their service. Entries frequently refer to personnel file numbers but the great majority of such files no longer exist. Volume 9178, (reel T-1778) Departmental Personnel Establishment Book 1850-1890 contains an alpha-index listing providing individuals names and the page where their entry is located in the establishment book. This establishment book contains individuals from the "Inside Service" (meaning headquarters) as well as "Indian Service" (meaning field office). Researchers should note that "Indian Service" was later changed to "Outside Service". This book provides the following information: name; office or position held in organization of department; date of birth; place of birth; nationality; religion; date of appointment to public service of Canada; present salary; and general observation. In the general observations note field researchers can find information pertaining to the individuals career including the date of their resignation, death, suspensions or retirement, as be the case. Volume 9179, (reel T-1778) Establishment Book - Inside Service, c 1860-1935 provides the following tombstone data: name; rank or class; date of appointment; "to fill vacancy or new appointment"; "province to which he belonged at time of appointment"; "appointment confirmed by Order in Council of "; "Passed Civil Service Preliminary Examination [date]"; "Passed Civil Service Qualifying Examination on the [date]:; Date, year and place of birth; origin and religion; oath of allegiance; and remarks. The remarks field pertains to the individuals employment history. Volume 9181 (reels T-1778) Establishment Book - Outside Service, 1870-1920 provides the same tombstone data as volume 9179, but for the outside service. Researchers should consult FA 10-32 for the alphabetical list cross-reference to the page they appear in the book. Volume 9181 ( reels T-1778 & T-1779) Establishment Book - Outside Service 1903-1925 has no index, rather it is organized by date of appointment. Volume 9182 (reel T-1779) Establishment Book Outside Service A - G, c1880-1955 is organized alphabetically through A to G and provide the following tombstone data: name; province; agency; file number; "permanent or temporary"; "to fill vacancy or new appointment"; contrib. To superannuation fund; "province to which the appointee belonged at date of appointment"; "married or single"; military service/returning soldier"; date and place of birth; national origin and religion; and remarks. The Establishment Books for H to M and N to Z are found in Volumes 9183 (T-1780) & Volume 9184 (reel T-1781) respectively, and contain the same tombstone data as found in Volume 9182. Volume 9185 (reel T-1782) Establishment Book - Inside Service, A to Z, 1900-1955 is alphabetically organized, however, researchers should note that after "Y" there are additional "A" names added. Volumes 9186 & 9187 (reel T-1783) Establishment Books - Outside Service 1900-1935 are divided by province/territory, and within each division names are organized alphabetically. mmVolume 9188 is somewhat different in that it contains an index of personnel files and is not a true establishment book although the volume was acquired by the National Archives as part of the establishment book series.
